CRM adoption depends on everyday work. If entering data helps neither the salesperson nor the person receiving a handover, information quality quickly deteriorates.
Define what each role needs to find
Salespeople need to prepare their next conversation; sales managers need to identify opportunities requiring support; customer service needs to understand prior commitments. These uses determine which data is actually necessary.
Simplify entry and stages
An overly long form encourages workarounds. Limit required fields to those serving a clear purpose. Each pipeline stage needs entry and exit conditions understood consistently by the team.
Prepare data before migration
Importing every file without checks can move duplicates into the new tool. Select useful accounts, verify identifiers and assign an owner. Update rules matter as much as the initial import.
Observe pilot usage
Test with one team and representative cases. Observe whether follow-ups can be found, handovers are understood and reviews actually use the CRM. These observations guide adjustment before expansion.
